At Hobby Hoard (accessible via hobbyhoard.org and our mobile application), your privacy is a top priority. This policy explains how we handle your data across our website and mobile platforms.

Section 1: Mobile Applications

1. Information We Collect

  • Account Information: Email address and profile details used for authentication and cross-device syncing.
  • Hoard Data: Information you enter about your craft supplies (yarn, fabric, tools, etc.), including quantities, dye lots, and notes.
  • Photos: Images you upload for item icons or profile pictures. These are stored on our servers to ensure they appear on all your devices.
  • Barcode & Search Data: When you use the Smart Scanner, we process the barcode number to retrieve product details.
  • Payment Data: We do not store credit card details. Payments are processed securely via App Store billing.

2. How We Use Your Data

  • Core Service: To sync your hoard between the app and hobbyhoard.org.
  • Community Database: To improve the “Smart Scanner,” product details (brand/name/category) from manual entries may be added to our master database for other users to find. No personal identity or specific hoard quantities are ever shared.
  • Subscription Management: To verify your access to Pro features (API-powered scanning and unlimited storage).

3. Device Permissions

To use all features, the app may request access to:

  • Camera: The camera hardware is utilized strictly to initialize a live-video viewfinder stream that automatically detects, tracks, and reads standard UPC-A barcodes in real-time. We do not capture, record, upload, store, or share any personal photos, video feeds, or biological data from your device’s camera stream.
  • Photo Library: For uploading existing images as icons.
  • Note: You can revoke these at any time in your device settings.

4. Data Sharing & Third Parties

We do not sell, trade, rent, or distribute your personal information or stash metrics to third-party advertisers or data brokers.

  • API Providers: We share barcode numbers with third-party databases (like UPCitemdb) to find product matches. No personal account info is shared with them.
  • Service Providers: We use Base44 for hosting.

5. Data Retention & Account Deletion

We retain your data as long as your account is active. You have the right to delete your account and all associated hoard data at any time.

  • To delete your data, go to the Settings menu in the app or website and select “Delete Account.”
  • Once deleted, this action cannot be undone, and all your inventory lists will be wiped from our servers.

6. Security

We use industry-standard encryption to protect your data during transit and at rest. However, please remember that no method of electronic storage is 100% secure.

Section 2: Enterprise Automation Services (Collective Neural Inbox)

  • Data Ingestion via Webhooks
  • Webhook Routing: System processes inbound business emails via secure webhooks.
  • Data Parsed: Ingestion isolates sender names, contacts, and message bodies.
  • Transport Security: Webhook payloads transfer over TLS-encrypted connections.
  • AI Model Processing & Third-Party APIsAnthropic Integration: Data processes through dedicated Anthropic API endpoints.
  • Isolated Processing: System passes text packets strictly for temporary analysis.
  • Zero Model Training: Data is never used to train public LLMs.
  • Data Exclusion: Anthropic contractually prohibits model training on API payloads.
  • Data Logging: API text strings vanish after immediate processing execution.
  • Corporate Security ComplianceData at Rest: Extracted text fragments reside in encrypted databases.
  • Access Control: Unique cryptographic tokens restrict internal workspace endpoint access.

7. The Global Crowdsourced Database Loop

Our App features a unique, collaborative “Data Enrichment Waterfall” system.

A. Background Data Harvesting

  • If you scan a barcode that does not exist in our global master product index, the App pulls basic descriptive specifications from public third-party APIs (including the Ravelry API and open web scrapers).

B. Crowdsourced User Inputs

  • If you choose to manually type in corrections or fill in missing fields (such as specific yarn weights, yardages, or fiber details) on a product preview card, saving that item triggers a background sync. This sync saves those product-specific details to our global, master product database table.

C. Strict Anonymization (The Anonymity Rule)

  • This crowdsourced database loop is entirely anonymous. The data sent to the public table consists strictly of cold, objective product attributes tied to a 12-digit numerical UPC barcode. Your name, email address, unique User ID, or private location metrics are never attached, transmitted, or stored alongside the global product entry.

D. Global Enrichment Opt-In / Opt-Out

  • If you explicitly enable the “Global Enrichment” toggle within your account profile settings, your private stash items will securely cross-reference this global, master table. This dynamically autofills any empty or missing metrics in your local view as they are discovered by the broader community. You may opt out of this background lookup check at any time by toggling the switch to FALSE inside your app settings.
